Introduction: Document Management Consulting Services
Gbrenna – Document Management Consulting Services. Feel good about starting your ECM job. We offer a range of professional advising services to help you start your ECM or document management project or move it along when you need more help or resources. We come up with business, functional, and technical needs, write RFPs, help choose vendors, and keep an eye on the project while it’s being put into action. Our document management advice services are unbiased and not affected by any vendor. We don’t sell or resell any software or hardware, and we don’t have any deals that require us to promote any vendors or products.
Technology and Strategy Review Session
Do you want to learn more about document management but not sure what technology to use or why? Are you thinking about SharePoint but want to know what EFSS or CCM, two other cloud-based teamwork apps, can do? Should you use a service bureau to scan your papers or could you do it yourself and store the files? Before you decide on a technology that might not be right for your use, let us help you learn the basics of it. This meeting usually lasts for half a day or more and has all the necessary people there. The session will go over document imaging, document scanning, electronic document management, records management, workflow, and cloud collaboration tools. It will also go over important topics like
- Cloud Content Management (CCM) or Enterprise File Sync & Share (EFSS) systems and SaaS methods vs. in-house ECM systems?
- There is a difference between managing documents, imaging documents, processing, and managing records.
- How old are these businesses?
- Methods of implementation: in-house, hired, or service bureau? What are the good and bad things about each?
- The choice of a provider is based on the requirements. Are you ready to create business, functional, and technical requirements?
- Can you learn from the mistakes other people have made?
- What direction is this industry going in, and how will that affect your choice?
A “Get Started” questionnaire will be sent to the members before the event starts. This survey will help you get ready for the meeting. You can also use this event to take a broad look at how your current system works and see how it stacks up against new technologies.
Project Review and Strategy Session
Before you start the long and expensive process of getting a document management system, make sure you (1) know what you need and (2) know how the technology works. We’ll quickly look at why you need the technology, write up our results in a report, and then meet with you to talk about your plans while the report is being presented. For this kind of study, the time spent on-site, writing the report, and giving the final talk can range from 5 to 15 days. The Technology and Strategy Review Session that was talked about above is part of this session.
Existing ECM Project Audit (Review and Strategy Session)
Not sure that your current ECM or EFSS system works right or that you are getting the most out of it and its applications? Are your users complaining that they can’t find papers, or do you need to find documents? It could be time to take a look at your current method. First, we’ll write down what the issues are and who is making them. Next, we’ll look at your system and how it’s being used to see if it’s being used properly and to see if there are any features that are missing. There will be a report and talk about your system with suggestions at the end of it.
Document Backfile Conversion Project
No, paper is not going away. In fact, it looks like more paper is being made every day. Paper can be expensive to store things on, and it can get damaged, lost, or destroyed by accident. Giving paper records in a lawsuit can take a lot of time and cost a lot of money. Getting rid of and storing paper records can be cheaply done by scanning them. Before you start your document or backfile conversion project, contact us to set up a full planning session and document conversion presentation. We have document conversion experts on staff who can give you the functional, system, and technical information you need to hire a document conversion vendor for your project. Read my blog post about these ways to get more sales.
Complete ECM Technology/Feasibility Study
We can do a full feasibility study on document handling for your project. It’s possible to study for both document imaging and document management consulting jobs on the same course. Usually, the following are part of this study:
- Needs analysis for each area or business unit that is part of the study
- Making a business case
- Analysis and creation of functional needs
- Analysis and development of system needs
- Analysis and development of workflow needs
- Needs for document exchange (if needed)
- Final report on the applications you want to make
- Planning for and choosing from purchases
- Writing an RFP and/or getting help writing an RFP
- Help with evaluating and choosing vendors
- Oversight of how the project is carried
When the study is over, we will give an official presentation and report on what we found.
Speaking Engagements
Talking about document imaging, electronic document management, records management, and cloud content management are some of the things we can talk about at your company, event, or lecture. I often give talks at events put on by the AIIM and ARMA chapters. I also speak at other meetings and business events. It might be helpful for top management to see an overview presentation on Cloud Content Management strategies and technologies when they are thinking about putting in place a cloud-based collaboration system. Please get in touch with us to talk about your chance. Check out “About Us” for a partial list of past events.
Articles and White Papers
You can hire us to write articles and white papers for you about a range of document management and workflow subjects. For more information, please get in touch with us. Under “Resources,” you can find some examples.
RFP Consulting
You can hire us as your RFP Consultant or let us help you plan how to handle RFPs. As part of their RFP services, companies can help you come up with initial RFP strategies, write an RFP, evaluate replies, and negotiate the contract. We have written RFPs for projects that scan documents, convert documents, handle electronic documents, and also for projects that do a mix of these three. Request for Proposal: A Guide to Effective RFP Development is my book, and you can buy it on Amazon.
Proposal Consulting
You can talk to us about how to write a sales proposal or hire us to be your proposal consultant for a current sales proposal project. As part of our proposal services, we can help you come up with initial proposal development strategies, write your proposal, and evaluate RFPs to decide whether to bid or not.
